Frequently Asked Questions

Do I have to be an IBMA member to attend the events?

No.  If ordering tickets in advance, IBMA members do receive discounts on tickets.  Discount will vary according to the event they are attending but there are non-member rated tickets for all events as well.  You can find pricing for all events, member rates and non-member rates, on the pricing page for details.

For tickets to the Awards Show - IBMA members ARE given priority on availability.

Can an IBMA Member purchase tickets for Non-Members?

If you are buying tickets to the Awards Show and/or Fan Fest - a member can purchase multiple tickets at the member rate for non-members who may be in their party.  All tickets are processed together and are held in the members name.

For the Business Conference, registrations are for each individual attendee.  To qualify for professional member rates, each registrant must be a professional individual member or be a representative of a company or group that has an organizational membership.

How do I get a showcase spot or booked in after hours rooms?

All official showcase acts have already been selected and deadlines to apply have passed.  After Hours hosts book and coordinate their own talent for the artists who perform in their rooms.  It is up to the artist to make those contacts and form those relationships.  IBMA does not coordinate any talent presentations for after hours hosts.

Refer to Showcase & After Hours page for more details.

How do I get my tickets or confirm you got my order?

All ticket orders and conference registration packets are held for pick-up at the events.  NO TICKETS WILL BE MAILED.  Once your order is received by IBMA - please allow up to two weeks for processing, at which time a confirmation, detailing your entire order and the tickets being held in your name, will be sent to you.  Confirmation can arrive by email or by physical mail depending on the information you provide.  If you have NOT received a confirmation of your ticket order by September 10, contact the IBMA office immediately at 615-256-3222.

Where does the jamming take place?

The Renaissance Hotel will offer jamming locations on two public floors (meeting space floors) and on several sleeping floors.  There may also be jamming areas in the Nashville Convention Center at designated times which don't interfere with scheduled events taking place in meeting space.  If at any time a jam session disturbs official events, disrupts meetings taking place, congests hallways or blocks fire exits, or creates a safety concern for attendees - you will be asked to break-up or move to another area.  This is simply to protect the interest of the facilities and the safety of all guests in the properties.

Some of the other hotel properties may also offer jamming areas or sleeping floors but expect all safety policies to be enforced if any of the above concerns result.  We appreciate EVERYONE'S help in understanding and adhering to these policies.

Do the events sell out?

Based on past experience, the Awards Show on Thursday night, being held at the Ryman Auditorium, is expected to sell out.  That most likely will not happen until mid August but it is also too soon to confirm. Members are especially encouraged to get their tickets in the priority period (before 8/15).  Availability will be evaluated at that time for non-member sales.

The Business Conference and Fan Fest do not sell out.  Ticket purchases are certainly encouraged prior to arrival but admission to both events will be available at on-site registration/ticket sales at the Nashville Convention Center during the World of Bluegrass week.  Since the events are developed with a "not everyone in the same place at the same time" schedule - attendees can move freely thru stages, exhibit hall and other offerings - making the facility accessible to all attendees.

How do I volunteer?

Every event producer knows that volunteers at events are critical!  We appreciate ours very much and do use folks throughout the week for various duties.

How do we make our schedule?  We do not start on the volunteer schedule until late July and will contact current volunteers first before adding new folks to the schedule. Volunteers work for Fan Fest admission and may have other perks according to the number of shifts they work.  If you are interested in getting on the list, contact Katy at katy@ibma.org

If you are a professional in the industry and have a need to be at the Business Conference to do business - we strongly discourage you from signing up to volunteer and have the right to refuse your participating as a volunteer.  This is in your best interest to avoid schedule conflicts with conference activities that you should be attending and the shifts in which we may ask you to fill.

Can I get reserved seats for the events?

The only event that is "reserved seating" is the Awards Show.  When you pick up your ticket, it will be assigned with specific seat numbers and location - according to your member type, date you ordered and the type of ticket ordered. You will not know your exact seat location until you pick up your ticket as the hall is not seated until after September 1.

No other event has reserved seating.  During Fan Fest, any items left on seats will be removed and taken to lost and found.  This is to allow attendees to move freely throughout the events and to avoid artists playing to empty rows of seats if folks are out seeing something else.  Reasonable bathroom breaks or someone watching your seat for a limited time is allowed.
