Hotel Reservations


Hotel Reservations for the 2010 events will open March 1, 2010. 

If you attended the 2009 Business Conference, you have a 30 day priority period to make reservations at our host properties before blocks open to all attendees and general public.

ROOMS BLOCKS OPEN ON FOLLOWING DATES

2009 Business Conference Attendees & Exhibitors: Mon, March 1

All Others:  Thurs, April 1

 

In order to promise you this access, we have provided the central reservation department for the events a listing of each individual’s name that is permitted to make reservations between March 1st and March 31st.   Beginning on April 1st, reservations will open to anyone planning to attend any part of the World of Bluegrass week: Business Conference attendees, Awards Show and Fan Fest patrons.

 

Be aware that certain room types are limited and if eligible, we recommend you make your reservations and take advantage of the priority access.  For those not eligible until April 1, rest assured that all hotel rooms do not sell out during this priority period and there will be plenty of accomodations still avaialbe when hotel blocks open to everyone on April 1.  The priority period is simply granted for those attending multiple events and an effort to maximize hotel nights at the host hotels.



RESERVATION PROCESS

 

  1. All reservations should be made through the Central Reservations Department of the Nashville Convention & Visitors Bureau. Please do not call hotels directly for room reservations. Special negotiated rates can only be accessed by calling the central reservations office.

  2. Inform them you need reservations for the “World of Bluegrass

  1. Provide them with your name which will be on the list of prior exhibitors or attendees after the designated dates listed above.  This will allow you access to the special block of rooms at discounted rates during this time period.

 

MINIMUM STAY REQUIREMENT (Renaissance) – Because the demand for rooms at the Renaissance, we require a four night minimum per room if you plan to make reservations at the Renaissance property.  All other properties DO NOT have a minimum night stay requirement.

 

Also, we ask that you make reservations only for the rooms you know you or your company need.  This will allow maximum availability to all attendees wanting to secure reservations.

DEPOSITS & GUARANTEES

Each individual will be required to leave a credit card number at the time their reservation is made to guarantee their sleeping room.  THE HOTELS WILL PROCESS A DEPOSIT TO THE CREDIT CARD FOR EVERY ROOM RESERVATION AFTER August 25, 2010.

 

All deposits are 100% refundable if cancellation or changes are made prior to August 25.  (See below.)

 

RESERVATION CANCELLATIONS & CHANGES

Any cancellation or changes to room reservations made after August 25, 2010 may be subject to a fee equal to one night’s room stay and related taxes, depending on the independent cancellation policy for the property you have reserved room(s).

Upon arrival (or just prior to the events) be sure to check with your hotels policies on early check-out (dropping nights from your original reservation).  Most hotels require notice if your reservation needs have changed and fees may be charged if you fail to notify them of an early departure.  Each hotel policies are different so it is up to the guest to know the requirements of the property they are staying.

“JAMMING” AND “QUIET” ROOMS AVAILABLE

The Renaissance Hotel and Hilton Nashville Downtown will allow “jam sessions” on designated floors of their property and only guests assigned to those floors will be permitted to host jam sessions during IBMA events.  There will also be accommodations designated as quiet areas, and no jam sessions will be permitted in those areas.  Consider your preference when choosing your room type and confirm it when making your reservation.

The additional properties offering discounted rates to our attendees will not have a jamming option for their property. 


CONFIRMING YOUR ROOM RESERVATION

The Nashville housing bureau will email, fax or mail an acknowledgement for every reservation, modification or cancellation. Review acknowledgements carefully for accuracy. You will not receive a separate confirmation from the hotel.  Hotels will make every effort to meet your requests for specific room types and locations on a first-come, first served basis.  However, specific room assignments cannot be guaranteed.


   


Travel Information

The Nashville International Airport (BNA) is just minutes from downtown Nashville and is serviced by most major carriers, offering over 200 flights daily. Flight arrangements can easily be made by calling your local travel agent or by accessing travel service websites on the internet. You may obtain additional information about the Nashville International Airport at www.nashintl.com.

Nashville also offers you access to several rental car companies and 24 hour taxi service throughout the city. Additional information on these and other services can be found at

 Downtown Parking / Recreational Vehicles


We STRONGLY encourage anyone coming to the events to travel by car.
  There is a parking garage directly across from the Renaissance Hotel and Nashville Convention Center in addition to numerous other parking garages and lots throughout the downtown area.  All guests should expect to pay a daily parking fee between $6.00 and $15.00 per day, depending on where you park.  Downtown lots are independently owned and operated and in most cases are not owned by the hotel property.  If using valet services, expect daily fees to be $20 to $30.

There ARE NO camping facilities in downtown Nashville.  Bus and recreational parking is extremely limited and will be held in reserve by IBMA for performers ONLY who are appearing at the events.

There are several camping facilites wihtin 15 miles of downtown Nashville however, no shuttle service will be provided from these locations.
